dPOP Seeking New Executive Assistant

dPOP is looking for an Executive Assistant to support our executive leadership + team members, while representing dPOP to our clients + visitors.
This position is the face of dPOP to our clients, and is responsible for organization + scheduling, office management, and event planning. The ideal candidate has a passion for detail and is extremely organized. Professional experience in an office environment and excellent interpersonal skills are a must.

• Manage the schedules of executive leadership
• Schedule + coordinate team meetings and events
• Schedule client meetings + provide leadership with overview of client history
• Answer and return phone calls + emails in a timely manner
• Maintain positive working relationships with team members + executives
• Coordinate travel arrangements for leadership
• Organize and record financial transactions + data
• Organize documents electronically
• Manage a variety of personal and professional tasks
• Sort and distribute mail
• Plan and execute events in our studio space
• Obtain + track client gifts and team member birthdays + anniversaries
• Accommodate all new hires according to onboarding process
• Perform daily office management tasks
• Be available outside of normal business hours to executives as necessary
• Arrive 30 minutes prior to executives on a day-to-day basis

• Bachelor’s degree in a related field from an accredited college or university
• 3-5 years of experience in an executive or administrative assistant role
• Ability to create strong presentations
• Expert in Microsoft Office Suite
• Knowledge of Adobe InDesign software
• Valid state driver’s license with a clean driving record
